Sweet Alchemy

Event Planning & Design

Structure and support for events and community connection

about me

Hi, I’m Nicole — my background is rooted in the fast-paced world of corporate logistics, where I learned that even the most creative visions need a solid foundation. I created Sweet Alchemy as an independent practice to refine that experience into a conscious planning practice—one that merges analytical project management with a heart for intentional, community-centered events.I’m passionate about helping anyone with a vision—from seasoned hosts to first-time planners—bring meaningful experiences to life. I handle the architecture of your event—budgets, contracts, timelines—so you can fully enjoy the connection and community you've created.Outside of events, you’ll usually find me sewing something I probably don’t need, baking something I definitely didn’t plan, or getting a little too deep into metaphysical rabbit holes. I lead my life with curiosity and love connecting with new people while exploring this big beautiful world!

Services

Remote Event Planning Support
I help you map out the structure of your event so it feels seamless — venue & vendor sourcing, contract & budget management, timelines, logistics, invoicing, — sharing check-lists and documents along the way, then I hand-off a blueprint for you to execute the day of the event.
Event Coordination
For when things are already in motion and you just need help tightening everything up — run sheets, checklists, setup guidance, and making sure nothing falls through the cracks.
Select In-Person Event Planning
(I'm currently in BC Canada — open to travel)
For retreats or events where on-site coordination is needed. Limited availability depending on location and fit.

Process

0.1 Foundation
You reach out via the form below with your event vision and needs. I’ll review the details and get back to you with a rough pricing estimate and my initial thoughts. Once we align on the scope we will schedule our first connection call.
0.2 Intake & deposit
We will jump on a call to say hello and map out where you’re at, chat through your event details—if you don't have all the answers yet, that's completely fine—we can fill in the gaps together along the way. Following our call, I’ll adjust and finalize your quote based on our discussion and send over a service agreement. A 50% deposit of the final amount is required to officially secure your date.
0.3 Blueprint
Based on our call, I will map out your event outline, timeline, and theme concepts. We’ll have a second deep-dive call to review the logistics and visuals, lock in the details, and get your final approval before full production begins.
0.4 Build
I’ll dive into coordinating the logistics – vendors, timeline, contracts. I’ll keep you updated along the way so you can stay in the loop and feel assured that every detail is being managed. The remaining 50% balance is due 30 days prior to your event.

I provide the same level of care to ensure your event feels effortless.I offer custom pricing depending on the scope and level of support needed for each event.I am currently offering introductory pricing for select projects while I expand my portfolio. In exchange for this rate, I request a testimonial and permission to use event photos for Sweet Alchemy’s gallery.I'm happy to offer sliding scale rates for mission-driven events.
